Oxford Health NHS Foundation Trust measure training effectiveness with TeleForm

Oxford Health NHS Foundation Trust is a community focused organisation that provides physical and mental health and social care with the aim of improving the health and wellbeing of their patients and families.

Mental illness affects one in four people in their lifetime and their vision is to support people's recovery from mental illness and to promote wellbeing in the communities served. The Learning and Development Department exists to support the service priorities and plans of the Trust through enabling learning for all employees, including those seconded from partner organisations.

As part of the Human Resources Directorate, their contribution to the Trust’s corporate aims and objectives specifically encompasses all staff being appropriately recruited, trained and qualified for the work they undertake.

They teach, train, recruit and develop expert mental health practitioners in many professions and disciplines. Development of teams and services will lead to new roles that diversify and strengthen the workforce. In some cases, this will address gaps in skills or services; in others, it will allow them to provide care in new ways.

The challenge

To ensure the training stays effective and well targeted, Learning and Development staff collate feedback from high volumes of training evaluation forms, completed at the end of each session. Collecting the feedback forms and data entry onto the Learning Management system is time consuming and labour intensive.

A more efficient way of capturing data accurately was needed to reduce manual data entry, improve turnaround times and allow staff to focus on more productive tasks.

The solution

TeleForm was chosen to work alongside a desktop scanner to capture data from a new evaluation form designed to extract constructive responses from training delegates. The new design layout makes it simple to understand and fill-in and is designed to facilitate automatic reading and data capture.

It is now possible to automatically generate pre-filled and barcoded evaluation forms as soon as candidates are booked onto a course. Once the candidate completes the form, it can be automatically read with data exported to the Learning Management system for archival and reporting. Both quantitative and qualitative data is handled more efficiently through the user-friendly features of the TeleForm Verifier.

The results

This system has dramatically increased throughput and reduced manual data entry. This has enabled better evaluation and analysis of delivered courses. This solution enables subject matter experts to maintain high quality course delivery and process evaluation forms efficiently with minimal manual processing.

Automation of the data capture process enables the L&D Department to concentrate on the analysis of consolidated feedback, impacting on the future delivery of learning interventions.
