The TeleForm suite is a scalable solution to provide a robust framework for capturing images and data from forms and other documents. TeleForm is able to process forms and documents from any source and to automatically recognise or classify the document type and extract the information, with industry leading OCR (Optical Character Recognition), ICR (Intelligent Character Recognition) and OMR (Optical Mark Recognition), ready for export to a database.

Form Design:

We have created many different form designs incorporating fields, tick boxes, logos and graphics to allow the forms to look and feel exactly how you want them to. Powerful design features allow the fields to be defined to capture specific information and enforce validation rules on the data.

Merging and Distribution:

TeleForm can export blank forms, which can be printed via a professional print company or simply printed from any normal Windows printer. It can also take data from a new or existing database and merge it to your forms. The merged forms are then automatically faxed or emailed, or printed for manual posting.

Capture:

Submitted forms can be captured from any source through TeleForms powerful connect agents. Built in scanner control allows capture from industry standard scanners capable of scanning from 20 to 200 pages per minute with additional connect agents for fax, web, eMail, network scanner and many other bespoke capture methods.

Classification:

Each page received will be compared to your pre-defined templates to identify the document type. The software can recognise and distinguish between many different document types by using bar codes, text or logo detection and process them accordingly.

Data Extraction:

Once the document type is identified the software will read the relevant data from the form. This will include constrained hand-print, tick boxes, variable scales, comments and signatures. Simple rules such as alpha, numeric, dictionaries, date ranges, database lookups and mandatory fields will be checked at this stage and any non-complying or unrecognised characters will cause the page to be flagged for human verification.

Quickly capture open data such as "Other Comments:" by predictive typing, coding, image capture or manual keying.
Many industry standard bar codes can be read from scanned images including two dimensional bar codes such as PDF417.
Read tick boxes or multiple option tick boxes in a variety of styles.
Verify if a form has been signed or not.

Data Verification:

Only bad or unrecognised characters are shown to the operator within a high speed interface. It is possible to build complex data validations and lookups into this stage through the Microsoft Visual Basic for Applications scripting interface such as conditional fields or checking an address against the electoral register. Only once the entire form is read OK and the data meets your pre-defined rules does it get queued for export.

Export:

Data from the complete forms can be manipulated and exported to any ODBC compliant database including Microsoft Access, Excel, SQL, Oracle or SPSS. Sections of the form, perhaps just anonymised data, or full form data can go to different destinations simultaneously or conditionally dependant on the data itself.

If the data needs to be exported in to a database such as SAP, Sage, a patient database, your payroll system or any other 3rd party system we have great experience in writing integration components to aid this.  Often it is possible to simply export the data using TeleForms built in exports but if a more complex export routine is required please contact us so we can provide guidance on how to achieve it.

Archival & Reporting:

Once the data has been captured and exported to your primary database, it is often important to archive the images of the scanned forms for future reference or legal reasons. To assist you with this we have optional add-on modules for image archival and dynamic data reporting.

TeleForm Desktop, Workgroup and Enterprise:

The TeleForm suite is built on a scalable platform that allows it to be suited to all levels of throughput from a few hundred pages up to hundreds of thousands of pages. Each edition is suited to different scenarios and has some different features:

Desktop:

Single user version of TeleForm, installed and accessible from one PC, with all the standard features and suitable for approximately 200 - 1000 pages per day.

Workgroup:

Maintains all the features of Desktop but allows more flexible access from any PC connected to your local network or remotely via Web & Remote Capture or Citrix. Additional concurrent licenses can be added for each of the modules (Design, Merge, Scan, Read and Verify) up to a total of 20 modules.

Server centric architecture makes backup, fault tolerance and flexibility of access much better as all templates, documents and data are stored centrally and can be accessed from any PC.

Enterprise:

In addition to the multi-user approach of Workgroup, Enterprise adds unlimited scaling, able to process in excess of 100,000 forms or documents per day. Many Enterprise class features are also included:

• Full system audit trail for compliance (with CFR Part 11 or Sarbanes Oxley for example)
• Custom system management reporting
• Advanced user and security directory integration with LDAP and Active Directory
• Deploy Reader and Merge as system services for unattended running
• Includes five user TeleForm Web Capture (optional add-on for other levels)
